Step 1: Instruct Your Travelers to Connect
Let your travelers know that their booking and expense just got easier. Ensure that your duty of care needs are being met and that your travelers are getting the experience that they are used to with Trainline Europe. Before they book a business trip on Trainline Europe, your travelers must connect their Trainline Europe and Concur accounts in the Trainline Europe App Center Listing.
Travelers need to be “connected” so their bookings sync with Concur. You can use these communication resources to help your travelers connect!

2. Update Your Concur Company Notes Section
When your travelers log into Concur Solutions, the Concur Company Notes are front and center, and a great way to communicate this important connection. You can modify this information and educate your travelers by following the instructions below:

First, access the Company Notes section in Concur Admin using the following steps:
- Concur Travel and Concur Travel & Expense customers: Admin > Travel > Travel Admin > Custom Text Tab
- Concur Expense customers: Expense Admin > Company Info

Then, cut and paste the following suggested text into the Company Notes section of your Concur Travel Admin.
Connect your Trainline Europe account with your Concur account by visiting the Trainline Europe App Center Listing and clicking on “Connect.”

Update Your Travel Policy
Apply Concur travel policy notifications to bookings made directly on Trainline Europe by travelers who have linked their Concur and Trainline Europe accounts. Please refer to the Configuration section of the TripLink User Guide to learn more.
Frequently Asked Questions
Changes happen! Please tell your traveler to change their booking directly on Trainline Europe (on the web or in the app). All changes will then be synced within Concur.
- France: SNCF, OUIGO, OUIBUS, Eurolines, Le Bus Direct
- Germany: DB Bahn, DB-SNCF en coopération, Thalys, HKX, IC Bus
- Italy: Trenitalia, Italo, Thello, Fiumicino Express, Autostradale, Baltour
- United-Kingdom: Eurostar
- Benelux: Thalys, SNCB/NMBS, NS, CFL, SBB/CFF

If you have any questions about the tool, you can send your questions to guichet@trainline.eu and get a response within a few hours.
If the connection fails, the user should retry. If the user connection fails more than twice, ask Concur support to open a ticket and escalate the issue to Web Services Development team.
Yes, travelers can connect an existing account. Be sure that travelers have connected Concur and Trainline Europe in the Concur App Center. Once their accounts have been linked, their reservation information will be sent back to Concur.
If your reservation request has already been accepted and you forgot to link your Trainline Europe and Concur accounts, you’ll need to manually forward your booking to plans@concur.com, and upload your receipt into Concur.
To find your Trainline Europe itinerary and receipt:
- Click your name in the top-right corner of trainlineeurope.com
- Select Your Trips
- Click View Receipt on the reservation you’d like to expense.
The receipt can be downloaded in PDF format.
When travelers choose to link their Trainline Europe and Concur accounts, the following information will be shared with their employer for business reservations:
- Name on the Trainline Europe account used to book the reservation
- Travel origin and destination
- Reservation charges and amount paid
This is the same information located on the reservation receipt and is consistent with the information Concur requires for expensing.
Yes! Corporate rates can be applied to SNCF, Thalys, and Italo.
For SNCF and Thalys, you can do it directly from your Trainline for Business account. You will need to have access to the management of the organization as the “Administrator” role (find more information on user roles). Go to “settings” and enter your corporate fare number.
For Italo, you will have to write an email to the support team (guichet@trainline.eu) and they will enter your corporate fare for you.
